School ERP Selection Checklist for Principals and Trustees
Choosing a school ERP affects daily work across many departments. An effective evaluation compares real workflows, operational responsibilities, data handling and the full commercial arrangement—not a long feature list alone.

Start with your school's requirements
Create a short list of the problems staff experience today. Which activities still involve duplicate entry, manual reconciliation or repeated follow-up? Invite the office team, a teacher, the fee accountant and school leadership to contribute.
Ask for a live workflow demonstration
A convincing demo should show the complete journey from entry to report.
- New admission to student profile.
- Daily attendance to monthly summary.
- Fee assessment to receipt and outstanding dues.
- Teacher marks entry to published report card.
- School announcement to appropriate recipients.
Review data access and privacy
Find out how accounts, roles and school separation work. Understand what information appears in the parent view and who can update sensitive records. Also ask about backups, access removal and how your school can obtain a copy of its data.
Compare actual contract costs
A price per student per month is a useful starting point. It may not include every commercial condition. Request written clarification of student-count calculations, minimum billing, onboarding, tax, support, training and cancellation terms.
Plan a small evaluation
Use realistic sample records, not personal data from your students, to validate essential workflows. Record which tasks were completed, what took longer than expected and which features would require a future change.
Short evaluation checklist
Take these questions to every vendor meeting.
- Are the required modules available in the proposed plan?
- Does the product support our board and reporting practices?
- Can staff learn the common tasks quickly?
- How is school data kept separate?
- Are migration, support and commercial terms documented?
- Can we test our highest-priority workflows before deciding?
